Vietnam MBBS Clinical Logbook: What Indian Students Must Keep
Direct answer: Keep a contemporaneous, university-issued record of clinical learning and internship, but do not treat a logbook alone as proof of Indian licensing eligibility. A useful record should identify the programme, rotation, dates, site, activities, supervision, attendance, assessments and official sign-offs. Preserve it with the curriculum, transcripts, certificates and other documents because the applicable authority may require evidence beyond a course title.
The NMC’s current FMGL materials distinguish clinical posting and training during the medical course from the separate internship or clerkship phase. That makes careful record-keeping important: a student should be able to show what was completed during the course, what was completed as internship, where it occurred, who supervised it and which institution issued the evidence.
What belongs in a clinical logbook?
Start with an official template or written university requirement. A generic notebook is useful for personal reflection, but the university’s approved record should control what is formally credited.
| Field | Record to retain |
|---|---|
| Student and programme | Name as in passport, student number, degree, cohort and campus. |
| Rotation identity | Department, module, dates, clinical site and required duration. |
| Learning activity | Observed, assisted or performed activity, always within the student’s permitted role. |
| Supervision | Supervisor name, designation, signature or verified electronic approval. |
| Attendance | Presence, leave, make-up sessions and any approved remediation. |
| Assessment | Case discussion, practical skill, OSCE, feedback, grade and appeal record. |
| Completion | Rotation completion, internship certificate, transcript entry and issuing office. |
Ask whether entries must be made daily, weekly or at the end of each block, and whether corrections need countersignature. Never backfill a clinical record from memory or copy a friend’s entries.
How is clinical posting different from internship?
They should be recorded as separate phases. NMC’s FMGL FAQ states that internship or clerkship is not the same as clinical posting and training during the minimum course period. The exact pathway and rules applicable to a student depend on the admission date and regulations in force, so a university’s use of the word “internship” should be checked against the official programme document.
For each clinical posting, record the year, subject, hospital or clinical site, dates, learning objectives, attendance and supervising faculty. For internship, retain the separate appointment or allocation document, department schedule, duration, completion certificate and any local professional-registration evidence the university issues. A rotation diary without an official completion document may not answer a licensing authority’s question.
Do not assume that an elective, observership, summer placement or short overseas visit substitutes for the required programme training. The internship verification guide explains why location, duration, supervision and the issuing institution need separate confirmation.
What should be verified at every clinical site?
Verify the site and supervisor before the rotation starts. Ask the faculty office to confirm whether the hospital is part of the approved programme, which departments are included, whether patient contact is permitted, and how attendance is monitored.
- Exact hospital or clinic name and address.
- University department responsible for the rotation.
- Clinical instructor or supervisor and escalation contact.
- Start and end dates, shift times and minimum attendance.
- Permitted student activities, patient-consent process and confidentiality rules.
- Language support and requirements for patient communication.
- Procedure for missed sessions, illness, safety incidents and make-up work.
- How the final sign-off is authenticated and stored.
Phan Chau Trinh University’s official clinical and internship pages illustrate why families should ask for detail: published materials identify rotation departments, orientation, hospital regulations, infection control, patient confidentiality and supervised practice. That example is evidence of the questions to ask, not proof that another university follows the same structure.
How should students protect the record?
Maintain both the official record and a secure personal copy. Scan signed pages or export the approved electronic record after each block. Use a consistent file name with the student, year, rotation and date. Keep an encrypted cloud copy and an offline copy, and retain the original in a safe place.
Do not photograph patient faces, names, case sheets or hospital screens. A logbook must demonstrate learning without exposing patient information. Follow the university’s confidentiality and data-protection rules. If a supervisor refuses to sign, contact the rotation coordinator promptly and document the request; do not forge a signature or alter a completed page.
When a record is corrected, preserve the original audit trail. For translations or legalisation, ask the receiving authority which documents need it. Avoid paying a broker to “certify” a logbook unless the university and authority confirm the process.
Clinical evidence checklist for Indian students
- Obtain the university’s approved logbook or clinical-record template.
- Record programme, cohort, rotation, dates, site, supervisor and objectives.
- Separate course clinical postings from internship or clerkship entries.
- Capture attendance, approved leave, remediation and make-up sessions.
- Record assessment and feedback using the official grading system.
- Obtain verified sign-offs after each rotation, not months later.
- Keep rotation schedules, affiliation letters, certificates and transcripts together.
- Check that the medium, duration, clinical training and internship documents match the current NMC materials.
- Store secure copies without patient-identifying information.
- Ask the university in writing about any gap before graduation.

FAQs
Is a clinical logbook enough for Indian registration?
No. It is one piece of evidence. The applicable NMC requirements, degree, curriculum, clinical training, internship, examinations and official certificates must be assessed together.
Are clinical postings and internship the same?
No. Current NMC FAQ material treats them as separate phases. Ask the university to label and document each phase clearly.
Can I create my own logbook?
You may keep personal notes, but formal credit should use the university’s approved record and sign-off process.
What if a supervisor forgets to sign?
Contact the rotation coordinator promptly, keep evidence of the request and use the university’s correction process. Never forge or backdate a sign-off.
Can I include patient names or photographs?
No, unless a lawful and university-approved process expressly permits it. Normally remove identifying information and follow confidentiality rules.
Should I preserve electronic logs?
Yes. Export or download verified records, retain the audit trail, and keep secure backups with consistent file names.
Source and limitation note
Verified on 15 August 2026 against the NMC FMGL FAQ, the Embassy of India in Hanoi advisory, the VinUniversity medical curriculum framework and official Phan Chau Trinh clinical-training materials. Logbook formats, clinical sites, supervision, attendance, internship documents and licensing rules are university-, cohort- and regulator-specific and can change. Obtain current written confirmation before relying on any record for graduation, immigration or Indian registration.
