A document’s date, entry type, sponsor and purpose all matter. If a passport is renewed, the old document may not automatically transfer to the new passport.</p><p>Ask whether the student must obtain a new visa, an approval letter, a temporary residence card update or an endorsement before departure. Ask what happens if the student exits through a different airport or land border than the one named in the paperwork. Do not infer the answer from another student’s nationality or university.</p><h2>Temporary residence and accommodation checks</h2><p><strong>Confirm that the accommodation provider has completed the required temporary-residence declaration for the student’s actual address.</strong> Vietnam’s immigration reporting portal is used by accommodation providers, and the unified system has had updated instructions during 2026. A hostel, landlord or university may handle the declaration, but the student should know who is responsible and how a change of address is recorded.</p><p>Before travel, save the hostel or landlord’s official contact, the university’s emergency contact and the address shown in the student file. After returning, ask whether the provider must file a fresh notification. Keep evidence of the current address, especially if the student moved between dormitory and private rental.</p><h2>Academic and practical checks before departure</h2><p><strong>Obtain leave approval before buying a non-refundable ticket.</strong> Ask about attendance thresholds, examinations, clinical rotations, practical assessments, logbooks and compulsory orientation. An immigration document may permit travel while the academic policy still treats the absence as unauthorised.</p><p>Make a return plan for delays: keep the university contact, insurance details, emergency funds and a copy of the offer or enrolment confirmation. Do not assume an airline will accept a document that an immigration officer may reject, or that a transit country has the same requirements as Vietnam.</p><h2>What if the student’s details changed?</h2><p><strong>Pause the travel plan when a passport, name, university, address, sponsor or programme detail has changed.</strong> A mismatch can affect the immigration file even when the student’s old document has not expired. Tell the international office before departure and ask whether the new passport must be linked, whether a replacement residence card is needed and whether the sponsor must submit an updated request.</p><p>Use the same spelling and order of names across the passport, university record, ticket, visa application and accommodation file. Keep the old passport only if the university or authority tells the student to retain it for evidence. Do not laminate, alter or attach unofficial stickers to an immigration document.</p><h2>Digital copies and emergency contacts</h2><p><strong>Prepare a small offline evidence pack before leaving the hostel.</strong> Save the passport bio page, current visa or residence document, enrolment confirmation, university contact, accommodation address, insurance policy and emergency contacts in an encrypted folder.
